Fuel Tax Desk LLC operates FuelTaxDesk, a software tool for preparing quarterly IFTA fuel-tax worksheets. We are the business responsible for the personal information described here. Our mailing address is 1603 Capitol Ave Ste 415 #317190, Cheyenne, WY 82001. Reach us at admin@fueltaxdesk.com.

We collect the information you provide when you create an account, use the calculator, submit a support request, or subscribe to a plan: your email address, company name, fleet size, trip and fuel records, worksheet calculations, and support messages. We also collect limited technical information automatically, including your IP address, browser type, pages viewed, and the marketing source (UTM parameters) that brought you to the site.

We do not collect your Social Security number, EIN, bank details, or payment card numbers. Card details go directly to our payment provider and never reach our servers.

We use your data to provide and improve the service, calculate IFTA worksheets, send quarterly deadline reminders and other emails you have asked for, respond to support requests, process payments, and comply with legal obligations. We do not sell or share your personal information for money or for cross-context behavioral advertising.

We use a small set of providers to run the business. Each processes data only to perform services for us:

• Supabase — database, authentication, and file storage (United States).
• Lovable — application hosting and outbound transactional email delivery.
• HubSpot — customer relationship records for leads and support contacts.
• Paddle — payment processing and merchant of record for subscriptions, including sales-tax handling and invoices.

We may also disclose information when required by law, to enforce our terms, or in connection with a sale or reorganization of the business.

FuelTaxDesk is operated from the United States, and the providers above store and process data in the United States. If you use the service from Canada or elsewhere, your information is transferred to and processed in the United States, where it may be accessible to courts and authorities under applicable law.

Your data is stored by our hosting and database providers with encryption in transit and at rest. Access is restricted by authentication and row-level security rules. While we take reasonable steps to protect your information, no online service can guarantee absolute security.

We use essential cookies to keep you signed in and maintain your session. With your consent, we also use Google Analytics to understand how the site is used, and advertising tags (such as Google Ads and the Meta Pixel) to measure ads and show FuelTaxDesk ads to past visitors on other sites. These only load if you click "Accept" on our cookie notice. You can decline, block or delete non-essential cookies through your browser settings, and we treat Global Privacy Control (GPC) signals as a decline.

Account, billing, and support-reply emails are part of the service. Quarterly deadline reminders and any promotional email include a one-click unsubscribe link, and you can opt out at any time by using that link or writing to support@fueltaxdesk.com. We honor opt-out requests promptly and keep a suppression list so you are not re-added.

You may access, correct, export, or delete your account data through the application at any time, or ask us to do it for you. Depending on where you live you may also have the right to know what personal information we hold, request deletion, request a portable copy, correct inaccuracies, opt out of sale or targeted advertising (we do neither), and not be discriminated against for exercising these rights. Residents of California, Colorado, Connecticut, Texas, Virginia, and other states with comparable laws, as well as individuals in Canada under PIPEDA, can exercise these rights by emailing admin@fueltaxdesk.com. We respond within 45 days and may need to verify your identity first. If we deny a request, you may ask us to reconsider by replying to our response.

We keep your data for as long as your account is active or as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. Worksheets and supporting records are retained for four years by default, matching IFTA record-keeping expectations for licensees. When you delete your account we remove or anonymize your data within a reasonable time unless we must retain it by law.

FuelTaxDesk is a business tool and is not directed to children under 16. We do not knowingly collect personal information from children under 16.

We may update this privacy policy from time to time. Material changes will be communicated by email or through the service.
