1. What FuelTaxDesk is

FuelTaxDesk is a software tool that helps motor carriers prepare quarterly IFTA fuel-tax worksheets. We perform calculations, store trip and fuel records, and generate filing-ready reports. We do not file returns with any jurisdiction, and we are not a tax preparer, accountant, or legal advisor.

2. Account eligibility

You must be at least 18 years old and authorized to bind the business or entity using the service. You are responsible for keeping your login credentials secure and for all activity under your account.

3. Subscriptions, automatic renewal, and cancellation

FuelTaxDesk is offered on a subscription basis. Fees are billed in advance according to the plan you select, and your subscription renews automatically at the end of each term — monthly plans every month, annual plans every twelve months — at the price shown on the pricing page when you subscribed, until you cancel. A free trial converts to a paid subscription at the end of the trial unless you cancel before it ends; we email you before that happens and before each annual renewal.

You may cancel at any time, online and without calling or chatting with anyone, from your billing page — the same number of steps it took to subscribe. You may also cancel by writing to support@fueltaxdesk.com. Cancellations take effect at the end of the current billing period, and you keep access until then. We do not provide partial refunds for unused days in a billing period unless required by law; see our refund policy for details.

Subscriptions are sold through Paddle, which acts as merchant of record and handles payment, invoicing, and any applicable sales tax or VAT. Your card statement may show Paddle rather than FuelTaxDesk.

4. Acceptable use

You may use FuelTaxDesk only for lawful purposes and in compliance with these terms. You may not reverse-engineer, scrape, overload, or resell access to the service. You are responsible for the accuracy of the data you enter, including mileage, fuel purchases, jurisdictions, and truck identifiers.

5. Data and records

We store your worksheets, trucks, and trip records so long as your account is active or within any applicable retention period. You retain ownership of your data. You may export or delete records through the application. We may remove data after a lengthy account cancellation or suspension, subject to any legal retention obligations.

6. Disclaimers

FuelTaxDesk is provided "as is" without warranties of any kind. Tax rates and rules change, and it is your responsibility to verify final calculations and filing requirements against the official IFTA tax-rate matrix and your base jurisdiction before submitting a return. We are not liable for filing penalties, missed deadlines, or errors resulting from incorrect data entry.

7. Limitation of liability

To the fullest extent permitted by law, FuelTaxDesk's total liability for any claim arising out of or relating to the service shall not exceed the amount you paid us in the twelve months preceding the event giving rise to the claim. We are not liable for indirect, incidental, special, or consequential damages, including lost profits, tax penalties, interest, or audit costs.

8. Your responsibility and indemnification

You are the filer of record for every return you submit. You agree to indemnify and hold harmless Fuel Tax Desk LLC and its owners and contractors from any claim, assessment, penalty, interest, loss, or expense (including reasonable legal fees) arising out of the data you enter, the returns or reports you file, your use of the service, or your violation of these terms or of any law or regulation.

9. Governing law and disputes

These terms are governed by the laws of the State of Wyoming, without regard to its conflict-of-laws rules. Any dispute will be brought in the state or federal courts located in Wyoming, and both sides consent to that jurisdiction. Nothing here limits any right you have under the consumer protection laws of your own state or province that cannot be waived by agreement.

10. Changes to these terms

We may update these terms from time to time. We will notify you of material changes by email or through the service. Continued use after the changes become effective constitutes acceptance.
